leo a911226d07 🐛(backend) preserve recording metadata when updating room access
Updating room access rewrote the entire metadata payload, removing information
about active recordings. This caused the frontend to lose track of ongoing
recordings and could trigger 409 errors when attempting to start a new
recording.

Consolidate the duplicated metadata update logic into
`RoomManagement.update_metadata()` and preserve merge behavior instead of
overwriting the full metadata object.

Florent Chehab 7fa172d100 (visio) use compatible with summary v2
This commit introduces the compatibility with summary v2.
It tecnically doesn't break the compatibility with v1 as
v1 params are still sent. But we advise people using the
transcribe feature in their own deployments to adapt to the
new v2 API, as this compatibility will be removed in a
future major version.

* RecordingStatusChoices now has
EXTERNAL_PROCESS_SUCCESSFUL
& EXTERNAL_PROCESS_FAILED
Values, which are changed by a new webhook that
can be called by the transcribe service.
This webhook is protected by its own bearer token.
* Title for the document is computed in visio,
* Tests are added / updated accordingly

leo aee1847303 (backend) add LiveKit egress_ended fallback for saving recordings
Recording lifecycle previously relied exclusively on the MinIO storage-hook
endpoint to transition from STOPPED to SAVED, which made the system dependent
on MinIO bucket notifications and lifecycle configuration. Introduce support
for LiveKit egress_ended webhook (EGRESS_COMPLETE, EGRESS_LIMIT_REACHED) as
an alternative finalization mechanism for self-hosted deployments that do
not use MinIO / S3 hooks.

Change behavior of existing configuation RECORDING_STORAGE_EVENT_ENABLE.
When the LiveKit mechanism is enabled (RECORDING_STORAGE_EVENT_ENABLE=False),
RecordingEventsService.handle_complete is triggered from
LiveKitEventsService._handle_egress_ended.

Damien Laine 4c5b6de8f3 (backend) make LiveKit Egress recording encoding configurable
Expose RECORDING_ENCODING_* settings to override the default LiveKit
Egress preset (H264_720P_30). When RECORDING_ENCODING_ENABLED is True,
the provided width/height/framerate/bitrate/keyframe values are passed
as advanced EncodingOptions. Lowering framerate and bitrate reduces
recording file size and egress worker CPU load.

Disabled by default, preserving current behaviour.

lebaudantoine cb4ed3c9d7 🩹(backend) ignore non-recording uploads in storage webhook handler
With the introduction of background file uploads, a misconfigured
MinIO webhook could trigger the storage hook endpoint for unrelated
files.

While the dev setup now filters events via the MinIO lifecycle
configuration, add a safeguard at the application level.

Enforce a stricter filepath regex when parsing storage hook events
and ignore files outside the recording output directory.

Return a clean 200 response to acknowledge the webhook while
avoiding unnecessary processing.

lebaudantoine 6962367e18 🐛(backend) fix notification tests broken by renaming env var
SCREEN_RECORDING_BASE_URL was renamed to RECORDING_DOWNLOAD_BASE_URL.

The new variable supersedes the old one, which is temporarily kept for backward
compatibility. This test failure was missed because the local common file was
out of sync with common.dist.

Add the new variable with a default value of None to ensure a smooth
deprecation path when the old variable is removed.

lebaudantoine f6cdb1125b ♻️(backend) refactor backend recording state management
Instead of relying on the egress_started event—which fires when egress is
starting, not actually started—I now rely on egress_updated for more accurate
status updates. This is especially important for the active status, which
triggers after egress has truly joined the room. Using this avoids prematurely
stopping client-side listening to room.isRecording updates. A further
refactoring may remove reliance on room updates entirely.

The goal is to minimize handling metadata in the mediator class. egress_starting
is still used for simplicity, but egress_started could be considered in the
future.

Note: if the API to start egress hasn’t responded yet, the webhook may fail to
find the recording because it currently matches by worker ID. This is unstable.
A better approach would be to pass the database ID in the egress metadata and
recover the recording from it in the webhook.

lebaudantoine 16badde82d 🚧(backend) update recording metadata alongside recording state changes
Previously, this was handled manually by the client, sending notifications to
other participants and keeping the recording state only in memory. There was no
shared or persisted state, so leaving and rejoining a meeting lost this
information. Delegating this responsibility solely to the client was a poor
choice.

The backend now owns this responsibility and relies on LiveKit webhooks to keep
room metadata in sync with the egress lifecycle.

This also reveals that the room.isRecording attribute does not update as fast
as the egress stop event, which is unexpected and should be investigated
further.

This will make state management working when several room’s owner will be in
the same meeting, which is expected to arrive any time soon.

lebaudantoine 309c532811 (backend) submit screen recordings to the summary microservice
Screen recording are MP4 files containing video)

The current approach is suboptimal: the microservice will later be updated to
extract audio paths from video, which can be heavy to send to the Whisper
service.

This implementation is straightforward, but the notification service is now
handling many responsibilities through conditional logic. A refactor with a
more configurable approach (mapping attributes to processing steps via
settings) would be cleaner and easier to maintain.
For now, this works; further improvements can come later.

I follow the KISS principle, and try to make this new feature implemented
with the lesser impact on the codebase. This isn’t perfect.

lebaudantoine 0d8c76cd03 (backend) add a flexible JSON field to store recording options
Using a JSON field allows iterating on recording data without running a new
migration each time additional options or metadata need to be tracked.

This comes with trade-offs, notably weaker data validation and less clarity on
which data can be stored alongside a recording.

In the long run, this JSON field can be refactored into dedicated columns once
the feature and data model have stabilized.

Refactor feature flag mechanism from Django permission classes to custom
decorator that returns 404 Not Found when features are disabled instead
of exposing API structure through permission errors.

Improves security by preventing information disclosure about disabled
features and provides more appropriate response semantics. Custom
decorator approach is better suited for feature toggling than Django's
permission system which is designed for authorization.

lebaudantoine 41c1f41ed2 (backend) add authenticated recording file access method
Implement secure recording file access through authentication instead of
exposing S3 bucket or using temporary signed links with loose permissions.
Inspired by docs and @spaccoud's implementation, with comprehensive
viewset checks to prevent unauthorized recording downloads.

The ingress reserved to media intercept the original request, and thanks to
Nginx annotations, check with the backend if the user is allowed to donwload
this recording file. This might introduce a dependency to Nginx in the project
by the way.

Note: Tests are integration-based rather than unit tests, requiring minio in
the compose stack and CI environment. Implementation includes known botocore
deprecation warnings that per GitHub issues won't be resolved for months.

lebaudantoine 8309545ec6 (backend) add minio event parser
When a new file is uploaded to a Minio Bucket, a webhook can be
configured to notify third parties about the event. Basically,
it's a POST call with a payload providing informations on the
event that just happened.

When a recording worker will stop, it will upload its data to a Minio
bucket, which will trigger the webhook.

Try to introduce the minimalest code to parse these events, discard
them whener it's relevant, and extract the recording ID, thus we
know which recording was successfully saved to the Minio bucket.

In the longer runner, it will trigger a callback.

lebaudantoine d4532eeb64 ♻️(backend) remove unnecessary manipulation of the room name
Avoided unnecessary manipulation of the room name to prevent issues when
starting an egress worker. Previously, hyphens were stripped from the room
name, likely inherited from the legacy setup with Jitsi in Magnify, though
the purpose of this change is unclear and might be an undesired legacy
feature.

To ensure accurate room matching during egress worker requests, this update
removes any manipulation of the room name. This approach minimizes the risk
of errors when initiating recordings and maintains the integrity of the
original room name throughout the process.

lebaudantoine f6f1222f47 (backend) introduce general recording worker concepts
Introducing a new worker service architecture. Sorry for the long commit.
This design adheres to several key principles, primarily the Single
Responsibility Principle. Dependency Injection and composition are
prioritized over inheritance, enhancing modularity and maintainability.

Interactions between the backend and external workers are encapsulated in
classes implementing a common `WorkerService` interface. I chose Protocol
over an abstract class for agility, aligning closely with static typing
without requiring inheritance. Each `WorkerService` implementation can
independently manage recordings according to its specific requirements.
This flexibility ensures that adding a new worker service, such as for
LiveKit, can be done without any change to existing components.

Configuration management is centralized in a single `WorkerServiceConfig`
class, which loads and provides all settings for different worker
implementations, keeping configurations organized and extensible. The worker
service class itself handles accessing relevant configurations as needed,
simplifying the configuration process.

A basic dictionary in Django settings acts as a factory, responsible for
instantiating the correct worker service based on the client's request mode.
This approach aligns with Django development conventions, emphasizing
simplicity. While a full factory class with a builder pattern could provide
future flexibility, YAGNI (You Aren't Gonna Need It) suggests deferring
such complexity until it’s necessary.

At the core of this design is the worker mediator, which decouples worker
service implementations from the Django ORM and manages database state
according to worker state. The mediator is purposefully limited in
responsibility, handling only what’s essential. It doesn’t instantiate
worker services directly; instead, services are injected via composition,
allowing the mediator to manage any object conforming to the `WorkerService`
interface. This setup preserves flexibility and maintains a clear
separation of responsibilities. The factory create worker services,
the mediator runs it.

lebaudantoine cb4c058c5d (backend) add minimal Recording viewset for room recordings
Implements routes to manage recordings within rooms, following the patterns
established in Impress. The viewset exposes targeted endpoints rather than
full CRUD operations, with recordings being created (soon) through
room-specific routes (e.g. room/123/start-recording).

The implementation draws from @sampaccoud's initial work and advices.

Review focus areas:
- Permission implementation choices
- Serializer design and structure
