lebaudantoine 385da86759 🔒️(backend) verify participant presence before mute operations
Ensure the participant requesting a mute action is still present
in the room before processing the request.

This mitigates scenarios where a previously issued token could be
reused after the meeting has ended.

Current token lifetime is intentionally long-lived and will be
refactored in the future to better align with LiveKit session
constraints. In the meantime, add this extra validation step to
reduce the attack surface.

Extend the existing live synchronization mechanism beyond room
configuration to also include lobby access level changes.

This ensures that all owners and admins sharing a room maintain a
consistent and up-to-date view of room state in the frontend,
including configuration and access control updates.

lebaudantoine 5a7a0da923 (backend) add synchronization mechanism for room configuration updates
Introduce synchronization of room configuration changes across
active participants.

When a room configuration is updated through a PUT operation, the
backend now performs an additional LiveKit API call to notify room
participants through a room metadata update event.

This ensures admins and owners quickly see up-to-date settings in
their administration panel. It also prepares the frontend for
automatic updates of unprivileged participants room’s data without
refetching it from the API.

An event-driven design was chosen instead of storing the full room
configuration in LiveKit metadata. While embedding the state
directly in metadata would provide immediate synchronization, it
would also require initializing and maintaining configuration
state during room creation or webhook handling, increasing the
risk of operational failures and regressions.

Instead, the backend emits lightweight synchronization events and
active clients update their React Query cache, which remains the
single source of truth for room configuration data.

Enable any participant to mute others when the room configuration
allows it. This is enabled by default for all meetings unless
explicitly disabled by an administrator.

Privileged users retain the ability to mute any participant
regardless of the room configuration.

leo 1612d8b2d4 (audio) assign users to diarization speaker results using VAD
Introduce a new user assignment mechanism to for more friendly output
than the current (SPEAKER_0, SPEAKER_1, ...). Use the VAD metadata to
compare speech intervals with those returned by WhisperX. User with the
highest overlap score above a defined threshold is assigned to each segment.
This method allows for multi-speaker scenarios for a single account.

EpsilonFO a2bccf4f4f 🐛(backend) make start-recording atomic and fault-tolerant
Wrap Recording and RecordingAccess creation in a single transaction so a
partial failure does not leave orphan rows, and return 409 instead of 500
when a recording is already in progress for the room.

When the worker fails to start, transition the Recording to
FAILED_TO_START so the unique partial constraint on (room, status) no
longer blocks future recording attempts on the same room.

Introduce MetadataCollector and MetadataCollectorService classes to
centralize the collection and storage of user connections, VAD events,
and chat messages. This creates a structured foundation for future speaker
assignment logic based on voice activity detection. Add tests for this new
feature.

lebaudantoine 6180ac4e4f 🔒️(backend) rely on backend to allow participant update their metadata
Introduce toggle-hand and rename endpoints in RoomViewSet,
secured with LiveKit token authentication.

Remove direct permission for clients to update their own metadata
via LiveKit tokens to prevent spoofing (e.g. faking admin status).

Proxy participant metadata updates through the backend to enforce
proper validation and authorization.

lebaudantoine cb4ed3c9d7 🩹(backend) ignore non-recording uploads in storage webhook handler
With the introduction of background file uploads, a misconfigured
MinIO webhook could trigger the storage hook endpoint for unrelated
files.

While the dev setup now filters events via the MinIO lifecycle
configuration, add a safeguard at the application level.

Enforce a stricter filepath regex when parsing storage hook events
and ignore files outside the recording output directory.

Return a clean 200 response to acknowledge the webhook while
avoiding unnecessary processing.

Although the module name suggests only enums, it also hosts

Remove the user-provided filename while preserving the extension,
and switch to the format `uuid.extension`.

This is more natural than the previous `uuid/.extension` format
and avoids confusion.

Update related tests accordingly.

Throttle the request-entry endpoint for authenticated users also
to guard against accidental hammering from buggy clients.

Authenticated users are throttled via RequestEntryUserRateThrottle.
Anonymous users are throttled using the lobby participant cookie
through RequestEntryAnonRateThrottle.

Florent Chehab dc278a6064 (backend) add file upload feature & tests
For the coming features we will need to store files on the meet side.
(for instance user backgrounds).

This commits adds a new Model to manage files, and the associated
serializers & viewsets. All are tested.

This work was heavily inspired by the work done by our friends at
https://github.com/suitenumerique/drive
It build on the same architecture design (upload directly to S3 but
download goes through our proxy), but model is much much simplier
(no folders, no file sharing, etc.).

Improve validation of parameters accepted when starting a
recording to prevent unsupported or unexpected values.

Language validation will be further tightened to only accept
languages supported by the transcribe microservice.

Add extensive API validation tests to cover these scenarios.

lebaudantoine bfbf253033 🔒️(backend) enhance API input validation to strengthen security
During the bug bounty, attempts were made to pass unexpected hidden
fields to manipulate room behavior and join as a ghost.

Treat these parameters as suspicious. They are not sent by the
frontend, so their presence likely indicates tampering.

Explicitly allow the parameters but emit warning logs to help detect
and investigate suspicious activity.

lebaudantoine 587a5bc574 (frontend) allow starting both a recording and a transcription
Major user feature request: allow starting recording and transcription
simultaneously. Inspired by Google Meet UX, add a subtle checkbox letting users
start a recording alongside transcription.

The backend support for this feature is not yet implemented and will come in
upcoming commits, I can only pass the options to the API. The update of the
notification service will be handled later.
We’re half way with a functional feature.

This is not enabled by default because screen recording is resource-intensive. I
prefer users opt in rather than making it their default choice until feature
usage and performance stabilize.

Refactor feature flag mechanism from Django permission classes to custom
decorator that returns 404 Not Found when features are disabled instead
of exposing API structure through permission errors.

Improves security by preventing information disclosure about disabled
features and provides more appropriate response semantics. Custom
decorator approach is better suited for feature toggling than Django's
permission system which is designed for authorization.

Refactor lobby system to use consistent UUID v4 across lobby
registration and LiveKit token participant identity instead of
generating separate UUIDs.

Maintains synchronized identifiers between lobby cache and LiveKit
participants, simplifying future participant removal operations by
using the same UUID reference across both systems.

lebaudantoine f48dd5cea1 (backend) add start-subtitle endpoint
Allow any user, anonymous or authenticated, to start subtitling
in a room only if they are an active participant of it.

Subtitling a room consists of starting the multi-user transcriber agent.
This agent forwards all participants' audio to an STT server and returns
transcription segments for any active voice to the room.

User roles in the backend room system cannot be used
to determine subtitle permissions.

The transcriber agent can be triggered multiple times but will only join a
room once. Unicity is managed by the agent itself.
Any user with a valid LiveKit token can initiate subtitles. Feature flag
logic is implemented on the frontend. The frontend ensures the "start
subtitle" action is only available to users who should see it. The backend
does not enforce feature flags in this version.

Authentication in our system does not imply access to a room. The only
valid proof of access is the LiveKit API token issued by the backend.
Security consideration: A LiveKit API token is valid for 6 hours and
cannot be revoked at the end of a meeting. It is important to verify
that the token was issued for the correct room.

Calls to the agent dispatch endpoint must be server-initiated. The backend
proxies these calls, as clients cannot securely contact the agent dispatch
endpoint directly (per LiveKit documentation).

Room ID is passed as a query parameter. There is currently no validation
ensuring that the room exists prior to agent dispatch.
TODO: implement validation or error handling for non-existent rooms.

The backend does not forward LiveKit tokens to the agent. Default API
rate limiting is applied to prevent abuse.

lebaudantoine 90b4449040 (backend) add email invitation endpoint for meeting participants
Implement new endpoint allowing admin/owner to invite participants via email.
Provides explicit way to search users and send meeting invitations with
direct links.

In upcoming commits, frontend will call ResourceAccess endpoint to add
invited people as members if they exist in visio, bypassing waiting room
for a smoother experience.

lebaudantoine 41c1f41ed2 (backend) add authenticated recording file access method
Implement secure recording file access through authentication instead of
exposing S3 bucket or using temporary signed links with loose permissions.
Inspired by docs and @spaccoud's implementation, with comprehensive
viewset checks to prevent unauthorized recording downloads.

The ingress reserved to media intercept the original request, and thanks to
Nginx annotations, check with the backend if the user is allowed to donwload
this recording file. This might introduce a dependency to Nginx in the project
by the way.

Note: Tests are integration-based rather than unit tests, requiring minio in
the compose stack and CI environment. Implementation includes known botocore
deprecation warnings that per GitHub issues won't be resolved for months.

lebaudantoine e20acfa5a9 🔒️(backend) limit user listing endpoint with security flag
Deactivate inherited user listing capability that allows authenticated users
to retrieve all application users in JSON format. This potentially unsecure
endpoint exposes user database to scraping and isn't currently used in the
application.

Implement security flag to disable access until properly refactored for
upcoming invitation feature. Will revisit and adapt endpoint behavior when
developing user invitation functionality.

lebaudantoine 4d961ed162 🚧(backend) introduce a lobby system
Implement lobby service using cache as LiveKit doesn't natively support
secure lobby functionality. Their teams recommended to create our own
system in our app's backend.

The lobby system is totally independant of the DRF session IDs,
making the request_entry endpoint authentication agnostic.

This decoupling prevents future DRF changes from breaking lobby functionality
and makes participant tracking more explicit.

Security audit is needed as current LiveKit tokens have excessive privileges
for unprivileged users. I'll offer more option ASAP for the admin to control
participant privileges.

Race condition handling also requires improvements, but should not be critical
at this point.

A great enhancement, would be to add a webhook, notifying the backend when the
room is closed, to reset cache.

This commit makes redis a prerequesite to run the suite of tests. The readme
and CI will be updated in dedicated commits.

Draft a piece of code to try the feature in staging. I'll consolidate this
implementation ASAP, as soon we have a first implementation functional.

What's missing?
- when owners are multiple
- retry when the backend cannot reach the summary service
- factorize the key oneliner, duplicated from the egress service
- optimize SQL query
- unit tests

lebaudantoine 7afa165013 (backend) offer an endpoint to save recording
I've protected this endpoint with a feature flag, and an authentication
class, as it will be exposed on the public internet.

I've tried to keep the viewset logic as minimal as possible, I've
to ship smth and will continue iterating on this piece of code.

At some point, abstracting webhook endpoint and authentication class
might be beneficial for the project. YAGNI as of today.

lebaudantoine b84628ee95 (backend) add two new endpoints to start and stop a recording
The LiveKit egress worker interactions are proxied through the backend for
security reasons. Allowing clients to directly use tokens with sufficient
grants to start recordings could lead to misuse, enabling users to spam the
egress worker API and potentially initiate a DDOS attack on the egress
service. To prevent this, only users with room-specific privileges can
initiate recordings.

We make sure only one recording at the time can be made on a room.

The requested recording mode is stored so it can be referenced later when
the recording is saved, triggering a callback action as needed.

A feature flag was also introduced for this capability; while this is a simple
approach, a more robust system for managing feature flags could be valuable
long-term. For now, KISS (Keep It Simple, Stupid) applies.

The viewset endpoints were designed to be as straightforward as possible—
let me know if anything can be improved.

lebaudantoine cb4c058c5d (backend) add minimal Recording viewset for room recordings
Implements routes to manage recordings within rooms, following the patterns
established in Impress. The viewset exposes targeted endpoints rather than
full CRUD operations, with recordings being created (soon) through
room-specific routes (e.g. room/123/start-recording).

The implementation draws from @sampaccoud's initial work and advices.

lebaudantoine 271b598cee 📈(backend) introduce analytics
In this commit, we'll integrate a third-party service to track user events.
We start by using the `identify` method to track sign-ins and sign-ups.

Additionally, we use the `track` method to monitor custom events such as room
creation, access token generation, and logouts. This will provide us with
valuable data on current usage patterns.

The analytics library operates by opening a queue in a separate thread for
posting events, ensuring it remains non-blocking for the API. Let's test
this in a real-world scenario.

Recent updates of dev/ruff and dev/pylint dependencies led
to new linting warnings.

Pylint 3.2.0 introduced a new check `possibly-used-before-assignment`,
which ensures variables are defined regardless of conditional statements.

Some if/else branches were missing defaults. These have been fixed.
